Refund Policy

Tuition reserves a seat that we then hold out of circulation, so refunds depend on how much notice we receive. This page sets out exactly what applies and when.

1. Scope

This policy applies to all tuition paid to Afsah Institute and forms part of our Terms of Service. “First session” means the first scheduled meeting of the cohort the student is enrolled in.

2. Cohort courses

For term-based cohorts such as the Arabic tracks, Hifdh, Qur’an/Hifdh, and Maktab:

  • 14 or more days before the first session — full refund of tuition, less a 5% administrative processing fee.
  • Between 7 and 14 days before the first session 50% of tuition refunded.
  • Fewer than 7 days before the first session — no refund, as the seat can no longer reasonably be reallocated.
  • Once the course has begun — no refund. Tuition is not pro-rated for sessions not attended.

3. Private tutoring

  • Sessions rescheduled or cancelled with at least 24 hours’ notice may be moved to another slot at no charge.
  • Sessions cancelled with less than 24 hours’ notice, or missed without notice, are charged in full.
  • Unused prepaid sessions may be refunded at the per-session rate, less any sessions already delivered.

4. Waitlists

Joining a waitlist costs nothing and no payment is taken. If a seat becomes available you will be contacted and may choose whether to enrol. Nothing is charged until you do.

5. Cancellation by Afsah

If we cancel, you are made whole.

If Afsah Institute cancels a program before it begins, or discontinues it partway through, enrolled students receive a full refund of tuition paid for the portion not delivered, with no administrative fee deducted. Where practical we will offer a transfer to another cohort or program of equivalent value instead; the choice is yours.

A change of teacher, schedule, or delivery format is not a cancellation and does not by itself give rise to a refund. See section 8 of the Terms of Service.

6. Removal for misconduct

A student removed from a program for serious misconduct, including any breach of the recording and photography restrictions in section 6 of the Terms of Service, is not entitled to a refund of tuition paid.

7. Exceptional circumstances

We recognise that serious illness, bereavement, and comparable hardship do occur. Where a student must withdraw for such reasons, write to us and we will consider a full or partial refund, or a credit towards a future cohort, on a case-by-case basis. Requests of this kind are considered in good faith and are decided at our discretion.

8. How to request a refund

Email admissions@afsah.institute from the address used to register, and include the student’s name, the program, and the reason for withdrawal. The date we receive your email is the date used to determine which refund window applies.

9. How refunds are issued

  • Refunds are returned to the original payment method. We cannot redirect a refund to a different card or account.
  • Once approved, funds typically reach your account within 5–10 business days, depending on your bank or card issuer.
  • Where payment was made offline, refunds are arranged directly with admissions.
  • Refunds are issued in US dollars. We are not responsible for currency conversion differences or fees charged by your bank.

10. Changes to this policy

We may update this policy. The version in force at the time you paid is the one that applies to that payment. The date at the top of this page shows when it last changed.
